Community: Setup Road Map

Folderize may be deployed in any Salesforce Community. This article gives you an overview of the configuration process, with references to detailed documentation.

Aside about our terminology: Although Salesforce has renamed Communities as “Digital Experience” sites, this documentation uses “Community” because it’s shorter and it remains the preferred term for many administrators and developers.

Configuring Folderize for a Community can be complex depending on the business requirements, especially related to permissions and security. ShareMethods, publisher of Folderize, offers the option of a short consulting engagement to help set it up according to your needs. If you might be interested in this, please submit the questionnaire.

But if you are an experienced Salesforce admin and will be handling the effort in-house, the following roadmap provides the needed guidance.

1. Configure permissions to access Folderize.

The first step is to grant Community users access to Folderize features (pages, objects, etc.). You can find all the details in the Community: Configure Permissions page.

2. Add Folderize component.

The next logical step after granting access to Folderize is to configure sharing for folders and files. But before this, it makes sense to add the Folderize component to the Community to simplify testing of the sharing features. You can find all the details in Community: Add Folderize.

3. Configure sharing of folders.

Allow access to specific folders (Folder records). For example, your Community users may need access to all folders in your Folderize app, or only to a subset. This topic is complex and depends on Salesforce licenses and your needs. You can find all the details in Community: Configure Folder Sharing.

4. Configure sharing of internal files:

Then you need to decide which internal files in the folders should be visible to your customers. By internal files, we mean files created by your internal users (employees). You can find all the details in Community: Configure File Sharing.

5. Test the results

Confirm that a test Community user sees the correct folders and files and does NOT see something that should be hidden from the user.
